Key Dates, Events, and Timeline

As of Monday, February 22, 2021, Seattle Colleges — North Seattle College, Seattle Central College, and South Seattle College — has moved to a new data system called ctcLink.  Central, North, and South deployed at the same time as Deployment Group 4B.

Even with our successful launch, there is plenty of work to be done as we all become familiar with this new system. For details and current work activity, check the ctcLink Updates page as well as our Resources page.

Key Dates

The following accordion boxes contain key dates related to the various audiences. Expand any box for details.

  • Monday, February 1 - Spring Quarter schedule is available to students online (originally Jan. 19) 

NOTE: Financial Aid and scholarship disbursements will not occur between February 8 and March 1, 2021.  Financial aid applications will begin processing again Monday, March 1. 
 

  • Wednesday, February 10 (by 4:30 pm) – last day for student and department cashiering transactions in business offices at all colleges. 
  • Thursday, February 11 (by 4:30 pm) - Last day for Winter Quarter enrollment and registration changes. 
  • Friday, February 12 (by 4:30 pm) – Legacy web admissions portals will close at 4:30 p.m. until new ctcLink admissions portals open on Monday, February 22. 
  • Tuesday, February 16 – Students look for email information about their new ctcLink ID and using ctcLink to register for Spring Quarter 2021 and online training resources. 
  • February 22-26: ctcLink Deployment Week – Payroll, Accounting, College Business Offices, Enrollment & Registration, Admissions, and Financial Aid Offices are closed at all campuses. 
  • Monday, March 1 – Students are invited to activate their new ctcLink accounts. 
  • Wednesday, March 3 – Registration for Spring Quarter begins for returning students using ctcLink. 
    (Note: this is a change from earlier published information that had registration beginning February 8) 
  • Monday, March 8 – Registration for Spring Quarter begins for new students using ctcLink  
  • Monday, March 15 – Tuition payment deadline (originally March 8)
  • Wednesday, March 24 – Winter Quarter ends 
     
  • Monday, April 5 - Spring Quarter classes begin 
  • Friday, April 9 - Spring Quarter last day to withdraw with 100% refund 
  • Friday, April 16 - Last day to register for Spring Quarter (South) (Note: this date was previously Friday, April 9)
  • Friday, April 16 - Last day to register for Spring Quarter (Central, North) 
  • Friday, April 16 - Last day to withdraw without a "W"
  • Wednesday, February 10 – Faculty resources (including step-by-step videos and supporting documents) for ctcLink instructional tools made available to faculty 

  • Wednesday, February 24 – Faculty are invited to activate their ctcLink accounts.  Note: this allows IT to focus support efforts primarily on assisting faculty Feb. 24, 25, 26 

  • Wednesday, March 3 – Registration for Spring Quarter begins for returning students using ctcLink

  • Wednesday, March 24 – Winter Quarter ends 

  • Monday, March 29 – Deadline for Winter Quarter grade entry by faculty using ctcLink 

  • Friday, January 15 (by 4:30 pm) – final day to initiate an eForm or to start a position requisition in NeoGov. These processes will open in ctcLink on Monday, March 8.
  • Friday, January 29  – last day to submit  timecards for approval for the January 16-31 pay period.
  • Monday, February 1 (by 12:00 noon) - all timecards must be approved in TLR.
  • Friday, February 12 (by 4:30 pm) – all TLR timecards for employees need to be submitted using current TLR system. This deadline is for the 2/1-2/15 pay period.
  • Tuesday, February 23 – all employees start using ctcLink to enter their time and leave for the February 16 - February 28 pay period.
  • February 22-26: Deployment Week – Payroll, Accounting, College Business Offices, Enrollment & Registration, Admissions, and Financial Aid Offices are closed at all campuses. 
  • Monday, February 15 – Last day to use procurement cards / P-cards / credit cards before deployment.

  • Thursday, January 28 – ctcLink Dry Run Conversion Validation - a SBCTC-led activity to confirm our student, employee, and financial data will convert successfully. 
  • Thursday, February 11 (by 4:30 pm) – Last day for Winter Quarter enrollment and registration changes. 
  • Friday, February 12 (by 4:30 pm) – Legacy web admissions portals closed until new ctcLink admissions portals open on Monday, February 22. 
  • Monday, February 15 – Begin Legacy System Shutdown (SMS, PPMS, FMS) NOTE: Presidents Day 
    Note: SMS “frozen” for changes.  
    Note: All pending web admissions need to be matriculated before this date. 
  • Wednesday, February 17 (by 4:30 pm) – Final Day to Change Data in Legacy/HP System. This is the last day staff will be able to make changes to the legacy SMS / FMS / PPMS environments, which close at 4:30 pm. 
  • Sunday, February 21: Conversion Test – Key staff will access ctcLink in the afternoon to confirm that the conversion has been successful.
  • February 22-26: Deployment Week – Payroll, Accounting, College Business Offices, Enrollment & Registration, Admissions, and Financial Aid Offices are closed on all campuses. 
  • Monday, February 22 – ctcLink goes live across Seattle Colleges for Central, North, and South Note: Employees may activate accounts. Based on DG2 and DG3 lessons learned, we would like to ‘hold’ a week here for employees to activate accounts and allow for any last-minute fixes and testing before students activate their accounts. We plan to be totally closed to the public this week. Instruction will continue as usual. 
  • Monday, February 22 – Staff activate their new ctcLink accounts 
  • Wednesday, February 24 – Faculty are invited to activate their new ctcLink accounts 
  • Monday, March 1 – Students are invited to activate their new ctcLink accounts 
  • Wednesday, March 3 – Registration for Spring Quarter begins for returning students using ctcLink (note, this is a change from earlier published information that had registration beginning February 8) 
  • Monday, March 8 – Registration for Spring Quarter begins for new students using ctcLink  

 

User Acceptance Testing (UAT) Sprint #1 Schedule

Campus Solutions (CS)-SF-FA UAT Sprint #1 took place Fall Quarter Oct. 26 through Nov. 30, 2020, and production workshops were held in November and December, 2020.

NOTE: All of the Key Concepts/Pain Points training session recordings are linked to the UAT and End User Training Schedule. Please refer to it for access to those recordings if you missed a session or if you want to review it again.

 

SBCTC Training & Walkthrough Calendar

There are a number of User Acceptance Testing (UAT) and End User Training sessions scheduled for various groups in the time up to deployment in February. View the full calendar. Sessions include:

  • Walkthroughs: Meeting with SBCTC staff to walkthrough the user testing process.
  • UAT Activities: WebEx help sessions hosted by SBCTC staff for testers to use to request assistance.
  • ILT (Instructor Led Training): Sessions lead by SBCTC staff that build on the online Canvas courses. Open to employees who have completed the online training.
  • Key Concept / Pain Points Workshops: Sessions lead by SBCTC staff to support testing processes. Open to employees who have completed the online training.
